1. Who we are
Japaate is a product owned and operated by IBAMAA PRIVATE LIMITED ("Japaate", "we", "us", or "our"). We provide an AI-powered sales intelligence and distribution platform built for FMCG, Pharma, and consumer brands. Our Services include a salesman app, a retailer ordering app, a web-based admin panel, and a Distributor Management System (DMS).
Japaate acts as a data processor for the business data that our customers (the brands, distributors, and organizations that subscribe to Japaate) upload or generate through the Services, and as a data controller for account, billing, and website information we collect directly. For data handled on behalf of a customer, that customer's own privacy policy and instructions also apply.
2. Information we collect
2.1 Information you provide
- Account & profile data — name, employee or retailer ID, phone number, email address, role, and the organization you belong to.
- Business & transactional data — orders, invoices, product catalogs, pricing, stock, retailer and outlet details, beat/route plans, visit logs, payments, and attendance records.
- Communications — messages, support requests, and feedback you send to us.
2.2 Information collected automatically
- Location data — when you enable it, we collect GPS location to verify field visits, geo-tag orders and outlets, plan routes, and confirm attendance. Background location may be used by the salesman app to record beat coverage during working hours where you have granted permission.
- Device & usage data — device model, operating system, app version, unique device identifiers, IP address, language, crash logs, and feature usage.
- Photos & media — images you capture (e.g. shelf photos, proof of visit, signed orders) through the app camera or upload from your device.
2.3 Information from third parties
We may receive data from integrations you or your organization connect, such as ERP and accounting systems (Tally, SAP, Zoho Books, Busy), payment providers, and SMS/WhatsApp messaging providers.
3. App permissions
Our mobile apps request only the permissions needed to deliver specific features. You can grant or revoke these at any time in your device settings; revoking a permission may limit related functionality.

4. How we use information
- Provide, operate, and maintain the Services and their features.
- Authenticate users, secure accounts, and prevent fraud or misuse.
- Process orders, payments, attendance, and field operations.
- Generate analytics, reports, and AI-driven sales insights for your organization.
- Provide customer support and respond to your requests.
- Send service-related communications and, where permitted, product updates.
- Improve, troubleshoot, and develop new features.
- Comply with legal obligations and enforce our terms.
We do not sell your personal information, and we do not use your location or business data for advertising.
5. Legal basis for processing
Where applicable law requires it, we process personal data on the basis of: performance of a contract (providing the Services), your consent (e.g. location and camera access), our legitimate interests (securing and improving the Services), and compliance with legal obligations.
6. How we share information
We share information only as follows:
- Within your organization — with authorized managers, administrators, and colleagues according to your role and permissions.
- Service providers — cloud hosting, analytics, crash reporting, and messaging partners who process data on our behalf under contract.
- Integrations — systems your organization chooses to connect (e.g. ERP, payments).
- Legal & safety — when required by law, regulation, legal process, or to protect rights, safety, and security.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
7. Data retention
We retain personal and business data for as long as your account is active or as needed to provide the Services, and thereafter as required to comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymize it. Customers control the retention of their own business data and may request export or deletion.
8. Data security
We protect your data with industry-standard safeguards, including encryption in transit and at rest, access controls and role-based permissions, hosting on ISO-certified cloud infrastructure, and regular backups. No method of transmission or storage is completely secure, but we work continuously to protect your information.
9. Your rights
Subject to applicable law, you may have the right to access, correct, update, or delete your personal data, object to or restrict certain processing, withdraw consent, and request a copy of your data in a portable format. To exercise these rights, contact us at salesgaatha@gmail.com. If your data is managed by your organization, we may direct your request to them as the controller.
10. Account & data deletion
You can request deletion of your account and associated personal data at any time:
- In the app, contact your organization administrator, or
- Email us at salesgaatha@gmail.com with the subject line "Account Deletion Request" from your registered email or phone number.
We will verify your identity and process the request within 30 days. Some data may be retained where required for legal, accounting, or fraud-prevention purposes. Note that records you created on behalf of an organization (e.g. orders and invoices) may be retained by that organization as the data controller.
11. Children's privacy
The Services are intended for business use and are not directed to individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us and we will delete it.
12. Third-party services
Our Services may link to or integrate with third-party services that have their own privacy practices. We are not responsible for those services, and we encourage you to review their policies. We use trusted providers for hosting, analytics, crash reporting, and communications, each bound to protect your data.
13. International data transfers
Japaate is operated from India. If you access the Services from outside India, your information may be transferred to, stored, and processed in India or other countries where our service providers operate. We take steps to ensure appropriate safeguards are in place for such transfers.
14. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. Material changes will be communicated through the Services or by email. Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.
